Hello friends!

Portland reached peak fall, and everything suddenly accelerated - from launching our first AI agent to saving a major distributor over a million dollars in inventory loss. Plus, I got to demo live in Boston without slides (terrifying but liberating!).

Team Building & Boston Adventures

Started October by spending a week co-working with Jason, our VPE. There's something about white-boarding together in person that video calls just can't replace. We mapped out our hiring roadmap and locked in our product goals through year-end.

Then it was off to Boston for the FoundersEdge summit. A whole lot of learnings, but the highlight was the "Ditch the Deck" event where I demoed the product live without slides.

Standing there with my laptop, mirroring my phone, I showed how a sales rep could text "I need 2 patches & 3 instruments at legacy by wednesday" and watch our Ordering Agent handle everything. The room got it immediately - no training, no apps to download, just text like you're messaging a colleague - I’ve been on this for a while - we’re building invisible technology.

First AI Agent - Orders via SMS

Sales rep texts: "I need two cadaver patches and 3 demo instruments shipped to legacy good sam by tomorrow," and then....

Our agent:

  • Identifies the products (even with casual naming)
  • Checks inventory availability
  • Confirms the delivery location
  • Understands urgency & matches to existing shipping options
  • Sends order for fulfillment to the ERP
  • Confirms back via text
  • Tracks order & notifies rep when it ships, and when it’s delivered

All in about 30 seconds. This is going to save reps & operations a ton of time.

The $1.2 Million Save

We just wrapped up an annual audit for a major distributor, and the results are incredible:

  • $1.2M in inventory "found" that was previously unaccounted for
  • Reduced variance from 4% to 1%
  • Cut audit time from 5 months to under 1 month
  • Sales reps used their phone to do inventory counts

The audit work happened while those 100+ reps stayed focused on selling instead of counting boxes. A rep even said that Deviceflow built the best inventory scanner she’s ever used. That’s high praise 😃

Product Development - Two Models Emerging

Starting to engage with commercial opportunities, we're seeing the need for two complementary solutions emerge:

Model 1: The Field-Facing ERP

For smaller medtechs and emerging companies, we ARE the system. Full inventory management, LOT/serial tracking, recalls, expiry management, rep tools - everything except general ledger. This is perfect for companies that don't want to spend 18 months implementing SAP. The must-have here is direct integration into Quickbooks - on our roadmap.

Model 2: The ERP's Best Friend

For larger companies already on Dynamics, NetSuite, or SAP, we're the field operations layer that sits alongside. Our new Microsoft Dynamics integration proves this works beautifully - their ERP handles supplier & financial work while we handle the messy reality of field inventory.

The product hasn’t changed, but this positioning will help us get into companies small & large - and expand our addressable market.

PO Matching Agent - Attacking the Unglamorous

While everyone's building chatbots, we're building agents that do actual work. Our PO Matching agent (launching November) does what an army of billers do today:

  • Matches POs to invoices across multiple systems
  • Identifies price and quantity discrepancies
  • Flags compliance issues
  • Auto-submits clean POs to ERPs
  • Highlights errors to human intervention

More on this to come as we roll it out.

The International Opportunity

Here's what we're seeing: European and Asian medtech companies entering the US market are in a unique position. They need to:

  • Stand up US operations fast (regulatory approval is expensive - can't waste time)
  • Work with US distributors who have their own systems
  • Stay compliant without understanding all US nuances
  • Do all this without a massive US team

Traditional approach? Hire consultants, implement a big ERP, pray it works. Takes 18+ months and millions.

The FDA approval window for these companies is tight - they need partners who can move at startup speed, not enterprise pace.

Our approach? They're operational in 4 weeks with tools their distributors actually want to use.

Looking Ahead to November

Rest of the year is about doubling down on existing initiatives:

  • PO Matching agent goes live
  • Interviewing for our two open founding engineer roles
  • Supporting the launch of our first customers
  • Build go-to-market for 2026

Final Thoughts

Our first version is working, and now we’re moving into the deployment & support phase. We’re also gearing up for a commercial launch early next year. It’s early days, but it does feel like we’re transitioning from "will anyone want this?" to "how fast can we build for everyone who wants this?"

Medical device companies are ready to ditch the stone age. They just need someone who speaks their language and understands their workflows.
